With a ton of new features, more integration, workflow enhancements, and a laser focus on user friendly simplicity, the biggest Clinicea update of 2025 is finally here.
Making future Appointments
After a patient/guest completes an appointment and is about to get checked out, usually in Aesthetic clinics, the receptionist will want to schedule the next appointment. The next appointment will usually be after 6 to 8 weeks. Rather than computing the date manually, you can now jump to it in a click with these ready made shortcuts.
You get these shortcuts to jump to dates on the top of the scheduler.
You get the same shortcuts when clicking on Next Appointment.
Also when you hover on the date, you get to see the interval from no: of days i.e. after 7days, after 8days
No-Shows
Some clinics tend to cancel appointments when there is no charge to the patient. And for those appointments where cancellation leads to a charge to the patients, being marked as a no-show. To achieve this, they need the ability to no-show future dated appointments also. Earlier on no-show could only be done to current or past appointments, but now its permitted for future appointments too.
Package Sales
ge selling on Scheduler is super simplified. Sell it by adding the package to an appointment, and choose which services need to be given today, all off the same window. Any services marked as same day service in package master, have the checkboxes switched on by default. You can override the system by deciding which services need to be given today.
Grouped Appointments
Earlier when one appointment had 3 services, there were 3 appointments created, with the appointments all linked to each other. Now you have the option that if an appointment has 3 services, 3 appointments will be created with a service each, however all 3 appointments will be considered as a single unit. So you can drag drop them all together, reschedule all 3 in a click and so on. This also means that enabling this preference will display the unique count of clients in the client queue, rather than the total number of appointments. To use this feature enable the option by going to Tools | Organization | Calendar Preferences.
Incomplete patient profiles
Quick registration lets you register patients with just the basic details. This is good when the patient is making an appointment on a call. When they do arrive in the clinic, and you mark them as waiting, Clinicea will check if their profile is incomplete. In case it is, Clinicea prompts your front desk to get it completed while the patient is waiting for the consult in the waiting room.
Automation of Inactive Patients
There exists an automation to mark patient as inactive, if they have not returned to the clinic for 4 weeks. We have now have the option to extend this to patients who have not come in for 8 weeks.
Google Tag Manager
We have enabled support for Google Tag Manager, as Google Analytics gets obsolete. For Clinic chains you can enable the option to have a different tag ID for each of your clinic locations.
Self-Check in
Patients UX design has been simplified, a patient can search for their record and if not found can self-register when making an online appointment.
Customised Terms and Conditions
You can now insert formatted HTML to create custom terms and agreement, with checkboxes, input controls and and javascript.
New Data Type "Likert"
We are introducing a new datatype in EMR, "Likert". A Likert datatype refers to a measurement scale used in surveys and questionnaires to capture respondents' attitudes, opinions, or perceptions about a given topic. It is not a formal database datatype like int, varchar, or boolean, but rather a survey data format that represents responses on an ordinal scale.
Todays Visit
You now can opt to hide the Todays Visit section from the current visit layout.
Descriptions
You now have the option to setup descriptions for clinical item, groups and casesheets. These description are visible and act like user friendly hints and messages to patients when they are filling out the paperwork remotely.
Printout Headers
By default external documents which a patient accesses has the same title as the casesheet name. However you can opt to hide that and default all clinical documents to just say, "Prescription".
Paperwork 2.0
A completely redesigned, super slick, and easy to use Paperwork 2.0 launched. Enable it by clicking on Tools > Organization > Open Main Organization > Clinical Preference.
Once switched on, it will display the new look.
Snapshots
You can now see the due bills in the patient snapshot and pay it in a click.
You can also view the transaction history from the patient snapshot in a click.
Past Appointment meta data
In the patient chart, the Past appointments tab has got more data for package appointments. The icon indicates whether this is a package appointment or a regular service. You can also view the complete package details by clicking on the package item.
Copy Visit Permission for Past Visit Notes
New permission added that determines visibility of the "Copy Visit" option in past visit notes. Useful if you believe that data is being just copied over by medical staff each time from earlier visits, whereas you want them to be monitoring by inputting of real-time values.
File No:
File number/Unique ID are now visible in all the patient quick details view.
Navigation
You can now open all patient transaction details on modal i.e. bills, payments, gift-cards, without having to leave the screen. New windows open in modal view, letting you navigate back and forth on the same screen.
Editing of Bills and Payments
This is a feature asked for often, and we finally have it ready for you. You now can control via permissions whether a bill/payment once created
- Can be edited at all. For the average user.
- Can be edited for upto 7 days. For the Center manager.
- Can be edited beyond 7 days. Perhaps for the clinic admin.
Bill Cancellation
Comments are now mandatory when manually cancelling a bill.
Fractional Consumables
You can now configure consumption of consumables in fractions for each service.
Commissions
You can now elect to give commissions to your staff members on gross price before discount also. Earlier the only option to give commissions was on net pricing after discount.
Authorisation Comments
You can now share internal comments when approving or rejecting a request.
Comments are mandatory when rejecting an request.
Package Expiry Computation
Earlier the date of package expiry was computed from the date of sale i.e. Package sold on Jan 2nd. Patient came for the first appointment on March 1st. Package Expiry was 6 months, so package expired on June 30th.
Now you can setup the logic so that the package expiry is computed from the date the actual treatment started i.e. the first checked out appointment. So in this case expiry date will be March 1st + 6 months i.e. September 30th instead of June 30th, making more of a business sense for long running packages.
Package Expiry Permission
Package expiry editing is now controlled via permissions. Only give the permission to senior staff members.
ZATCA 2
Kingdom of Saudi Arabia has made e-invoicing mandatory as it moves to phase 2 of the project, introducing ZATCA 2. Clinicea has released a ZATCA 2 fully compliant billing system. No changes required at your end, just bill the way you used to in Clinicea, everything will be handled in the back end.
Linked Orders
You can now from inventory details, as well as from Purchase orders, Requests orders, Sub-PO, in a click see all the related transactions.
You can also spot expired batches immediately, thanks to the expired sticker.
Revamped Inventory Transaction History
The transaction history now lets you search using premade filters on date, transaction type and batch number.
Multiple Receipts
If for a single PO you received the stock over multiple deliveries, you can now in a click see the breakup.
Delete Order
You can now delete a Purchase order. Associated Sub-PO will also get deleted.
Smart Drafts
Let's say you create a draft purchase order for a clinic or a vendor. Then after a few days another team member unaware of your actions end up creating yet another draft for the same clinic or vendor, the system will prompt him that a draft already exists, and let him choose to overwrite it. Alternatively, if a final order is made and send out, then related draft will be auto deleted. This ensures that human errors no longer create duplicate orders.
Batch Auto-Fill
When filling up stock orders, or when sending and receiving stock, the batch number is now a searchable field.
Authorisation
You can do partial authorisation for incoming inventory stock. For the shortfall in stock received, a debit note will be auto created.
Opportunity Category
Opportunity Category used to a system defined dropdown. It is now customizable and you can edit it to add new values.
Password Protected PDFs
cea generated documents when being mailed i.e. bill, prescription, report etc are not password locked. But if you need the option to password protect them i.e. for compliance or security, you can now. Just enable it under Security Preferences of the Organization. The password is always the year of birth of the patient, making it easy to unlock and not increasing the burden of support at your front-desk of failed opens by the patient.
Unlock
A staff account may get locked out if they enter an incorrect password more than xxx (not disclosed due to security) no: times. This ensures breaking into a user's account is not easy by use of brute-force attack. The clinic administrator now has the option to unlock such a locked staff account. Previously unlock could only be done by the Clinicea support team.
Granular Controlled Access
Previously a staff had access to all reports associated with the module they had access to. So report access was module driven.
Now, you can get granular and select specific reports you want to allow access to a staff. Control it via the staff profile.
Descriptions
Report descriptions help to understand the logic behind a report. Description was visible as a tooltip. It is now been surfaced to the top, so that it is visible as soon as you run a report. Makes for easier understanding.
SMS Gateways
Clinicea is spreading to new countries and cities every week. We take this growth as a matter of privilege and have a responsibility that to each customer we try to offer the best possible platform in comparison to the options around them. With this mindset, we also keep adding new SMS gateways, based on what our clients prefer. We do not bill for SMS directly unless asked to by the client. In each case our clinics are opening accounts directly, negotiating the best rates they want with their local provider and simply plugging them into Clinicea with a click. We have again added a whole bunch of new SMS gateways, and have not over 30+ gateways. No matter where you are, we have you covered, and if you want something else to communicate, just let us know.
