2024 AUGUST RELEASE


CALENDAR

Engaged Times

You now have the option to view how long the patient is engaged with the Doctor for. If the consult exceeds the time a service should have taken, the scheduler flags it. Nothing is to be done at your end, except set the duration for each service in the Service Master. Ex: lets say the patient has come for a 15m appointment.


For a 15 min appointment the first 0-5mins starts off in white text:


Midway through it appears in orange i.e. 6-10mins:


When just the last leg of the appointment starts i.e. 11-15mins, it alerts your front desk by turning the time in red that the consult is about to get over, she can ready up the next patient.


Cancellation Reason

You can now see the cancellation reason set by the patient or staff.



Unique Patient Count

New preference Display unique count of patients, and not the no: of appointments in the patient queue. So if there are 4 Customers with 11 different appointments, switching this preference on, will display the count as 4 and not 11. Control this via Calendar Preferences.



Due Amount

Earlier only a red bar would came against the name of the patient, to indicate that the patient owes money to the clinic. On hover, the tooltip would show the amount. Now the due amount is explicitly shown against the patient name in the appointment details window.



Feedback Expiry

Feedback links now expire after 10 days as against the earlier limit of 7 days.


Contact Details

You have the option to keep the same patient, and put in temporary contact details for this appointment only. For it to work you need to switch on a Calendar preference


and then whenever you select a patient in the appointment, you will get this prompt, auto-filled with patient details.


2-step Checkout

You can now enable 2 step checkout for package as well as regular service appointments.




CRM

Service Categories


As and when a patient takes a service, Clinicea auto-adds the respective service-category that service belongs to, in the patient demographic. This info is useful for cross marketing in the CRM and is now available under the Lead associated with that patient.


You can filter by service category too.


Followup Times

Earlier only followup date was supported. however now followup time is also supported.



Membership now supported in Leads

You can now view the membership a converted lead belongs to.



Improvements to searching in Opportunities

You can search for expired opportunities. Expired ones also have a sticker to highlight the same.


You can also search by created date.


As well as by date of closure.



PATIENT

Approximate DOB

In case DOB is an approximation a circa icon will appear.


Category

You can now set Patient category as a mandatory field under Clinical Preferences.





EMR

Finish Visits in a click

A new feature, to turbo charge your note taking. Record a consultation, as you always do. If you believe it can be reused, simply click on the arrow next to Save, and click on "Save As CaseSheet". Everything except History gets saved for reuse for the next patient. So no more retyping Rx, Investigation, Chief Complaints, or Diagnosis. Next time, a patient comes, click on casesheet, and select your saved casesheet to have everything pre-filled. Edit as required and print the prescription,





Past Visit Search Filters

Several more search filters added to past visit notes. You can now search by casesheet, assessment and practitioner.



Rx Duration

If you prescribe multiple medications and want to auto set duration for all, you can do so now when prescribing Rx.



Rx Frequency Support for Bedtime

Earlier you record dosage for only Morning, Afternoon, Evening. You can now add an additional dosage i.e. Night. To use this you need contact support to get your prescription layout updated as well as switch on a new Clinical preference

Coupons are here

You can now create coupon codes in Clinicea and use them for marketing to select segments.

  1. Coupon is another type of promotion. So the journey starts when you create a coupon by going to Tools | Promotion.


  1. Next, set a coupon prefix and the lower and upper limit. Coupon codes will then get auto generated e.g. if you give prefix as SUMMER-2024 and a range of 1 to 1,000, then 1,000 coupons will get generated ex: SUMMER-24-1, SUMMER-24-2, SUMMER-24-3 and so forth. You can even upload a coupon design for reference, as made by your graphic designer.


  1. Once done, now setup the services, product or package discount as desired.


  1. Then click on print and send the coupon factsheet to your printing company, along with the graphic designer of the coupon layout. Note: designing of the coupon layout, and printing thousands of coupons are both outside the scope of Clinicea and is done externally at your end. The coupon module lets you generate coupons and use them for billing by authenticating, validating and redeeming coupons in Clinicea.


  1. Time to use the coupon during billing. For any patient, open a new bill, click discount and goto the coupon tab.


  1. Now enter the coupon code. If found you see the details.


  1. Click "Apply Coupon".


  1. You can always click on the discount amount, to see the coupon that has been applied.


  1. BONUS TIP: If you do start using coupons a lot, you can reduce a couple of clicks for your team members by setting the default option on the billing screen under Financial Preferences to be "Coupon".


Item Level Commission

You can now control the amount of commission accrued on a bill item, manually.


Access to this feature is permission driven.


Sequencing for Credit Notes

If you want to generate a different sequence of numbers, completely separate from the invoice series, for credit notes. That is now possible under Financial Preferences.



Points Redemption

Earlier when points were redeemed by a client in a bill, it appeared as a discounted line item in the bill. Now it will no longer appear as a line item. Instead it will be added to the Bill discount. You can see the detailed breakup on clicking the discount. This allows for simpler reporting.



Points Communication Templates

New point communication templates added for both point earning and redemption.



Promotions for custom packages

Now when creating a promotion for packages, you can choose if this should be made available for custom packages too.


Taxable with non-taxable

You have the option to restrict merging of non taxable items with taxable items in a single bill. You can switch it on under Financial Preferences.



Consumable Viewing

Whenever you add a bill item, the system will now show whether it has consumables in it. If yes, you will be able to view the consumable list by clicking on it.


Attachment in Expenses

You can now attach expense receipts, or invoices against each expense.

A complete overhaul of the inventory module has been released version 2.0. Inventory

Stock Movement

A new dedicated area to initiate and track stock movement. These are of 2 kinds, Vendor-to-Clinic, and Clinic-to-Clinic. You can go here to generate stock requests, receive stock, send stock and return stock.


Stock Requests, Send & Receive Stock

A completely refreshed stock request screen, with support for file attachments.


Pricing simplified

All inventory screens now shows the before and after tax price separately for easier understanding.

Online Store Support

We understand the requirement that some clinics to have their own shopfront to sell online the inventory stored in Clinicea. We now support integrations to WooCommerce in Wordpress via the Clinicea API. We have also added support for it in the Inventory Details page. you can now mark inventory as being available for online store and upload images you would like to display.




Permission to Delete

New permission to delete stock orders.



PATIENT PORTAL

White-Labelling

Patient Portal, Curofic Online Booking, E-Bill, E-Rx, E-Lab, E-Payment are all now white labelled for users of the enterprise plan. Switch on the feature by going to Organization | Client Engagement Settings



Appointment Booking Options

You can now control the booking options a patient sees when they log in to the Patient portal.



Payment Failures

Whenever a patient tries to make a payment and it fails, a payment failure notification will be emailed to the patient.




COMMUNICATION

URL Control

The URLs being sent in SMS and emails can get quite long. Clinicea has the provision to shorten it for you. This is enabled by default. However in some countries, the sovereign VPN disallows use of shortening URL services. In that case when your SMSs reach the patient and they click on the URL to view their bill, or telehealth meeting, they get an error. If that is the issue you are facing, you can now disable URL shortening by going to to Tools | Organization | Communication Preference.






SECURITY

2 Factor Authentication

Security strengthened with the launch of 2 factor authentication. Once enabled under Security Preferences, OTP will be sent via SMS and email.


Once enabled the user will need to input the code when logging in.




API

Tally Support

New methods added to support syncing with the Tally accounting software. You will need a Tally certified developer to use the APIs.


TeleCMI

Continued improvements to the telephony integration - you can now set yourself as online or offline in the telephony app via Clinicea. You will receive incoming calls only when you mark yourself as online. This lets you take breaks, by marking yourself as offline.




DUBAI

Card Reader

Support added to read Emirates ID straight from the card reader, and auto register patients in 1 click.




UX

2 years in the making, we are happy to announce a complete overhaul of the entire Clinicea User interface. It is now using the latest version of responsive bootstrap framework. Advantage to you is that you get lightweight pages that works better across all devices and form factors.



Status Monitoring
