How to Connect Clinicea with MyOperator for Cloud Calling

Integrating MyOperator with Clinicea allows your clinic staff to make outbound calls directly from Clinicea, receive incoming call records automatically, and maintain a complete communication history against patient records.
This guide walks you through the complete setup process.

Prerequisites

Before you begin, ensure you have:

  • An active MyOperator Business Account
  • Administrator access to Clinicea
  • Administrator access to the MyOperator Dashboard
  • Your clinic's staff mobile numbers already configured in Clinicea

Step 1: Configure MyOperator in Clinicea

Navigate to:

Tools → Integrations → MyOperator

You will see the MyOperator configuration screen.

Fill in the following credentials:

  • X-API Key
  • Company ID
  • Secret Token
  • Public IVR ID

After entering the details, save the configuration.

Note: These credentials are obtained from your MyOperator Developer API dashboard.

Step 2: Get API Credentials from MyOperator

Login to your MyOperator Dashboard.

Navigate to:

APIs & Webhooks → Developer API

Click Manage under Calling API.

The following credentials will be available:

  • Company ID
  • X-API Key
  • Authentication Token
  • Secret Key

Copy the following values into Clinicea:

Step 3: Configure the Webhook

Clinicea generates a unique webhook URL for every clinic.

Copy the MyOperator Webhook URL displayed in:

Tools → Integrations → MyOperator

Now return to MyOperator.

Navigate to:

APIs & Webhooks → Webhooks

Create a new webhook.

Configure:

  • Webhook URL: Paste the Clinicea Webhook URL
  • Event: Call

Save the webhook.
Your webhook should now display an Active status.

Step 4: Configure Staff Mobile Numbers

Each Clinicea user who will make calls must have the same mobile number configured in both systems.

Open:
Staff Details

Under Contact Details, enter the staff member's mobile number.

Step 5: Configure MyOperator User ID for Each Staff Member

Inside Staff Details, navigate to:

Preferences → MyOperator Settings

Enter the MyOperator User ID.

Save the settings.

Where do I find the MyOperator User ID?

In MyOperator Dashboard, navigate to:

Manage → Users

Open the required user.

Copy the User ID.

Important

The following information must match between both systems:

  • Staff Mobile Number
  • MyOperator User ID

Incorrect mappings may prevent calls from being associated with the correct Clinicea user.

Step 6: Enable Calling Permission

Open:

Permissions
Select the appropriate role (Receptionist, Call Center, etc.)

Enable:
Make outgoing calls using your VOIP Provider

Save the permissions.

Making Calls from Clinicea

Once the integration is complete, calls can be initiated directly from Clinicea.

Click the phone icon beside any patient's mobile number.

Clinicea sends the call request to MyOperator, which places the outbound call using the configured agent.

The staff member receives the call on the MyOperator application.

Tap Call to connect with the patient.

Viewing Call Logs

Every completed call is automatically synchronized into Clinicea.

Navigate to:

CallBox → Inbox

Here you can view:

  • Incoming calls
  • Outgoing calls
  • Missed calls
  • Call date and time
  • Call recordings (if enabled)
  • Guest details
  • Assigned agent

How It Works

Once configured:

  1. A user clicks the call icon inside Clinicea.
  2. Clinicea sends the request securely to MyOperator.
  3. MyOperator rings the assigned staff member.
  4. After the staff answers, MyOperator connects the patient.
  5. When the call ends, MyOperator sends the call event to Clinicea through the configured webhook.
  6. Clinicea automatically records the call in the patient's communication history.

Troubleshooting
Calls are not being initiated

Verify:

  • MyOperator integration is connected.
  • Staff mobile number matches in both systems.
  • Correct MyOperator User ID is configured.
  • User has permission to make outgoing calls.
  • Staff member is enabled in MyOperator.

Call logs are not appearing

Check:

  • Webhook is Active in MyOperator.
  • Correct Clinicea Webhook URL is configured.
  • Webhook event is set to Call.
  • Internet connectivity is available.

Calls are assigned to the wrong user

Ensure:

  • Mobile numbers are identical in both systems.
  • Correct MyOperator User ID is mapped to the Clinicea staff profile.
